Timeline

Keep everyone in your organisation informed of relevant news by chatting with your colleagues and sharing photos, documents, and more on the timeline. Your timeline is your personal collection of useful information, reflecting your own needs based on your chosen interests.

Widgets

See everything you need to know in a single glance. Your organisation’s most important widgets are permanently on display, but you alone decide what else is shown. Examples include ‘find colleagues’, ‘world clock’, ‘notes’ and ‘my applications’.

News feature

The intranet design includes a news block, based on your corporate style and preferences, so nobody misses any essential news about the organisation. It can be used to post your news, blogs or newsletters. Very handy!

Profiles

It’s a known problem: you’re looking for a colleague because you want to ask them something, but you can’t find their phone number. Wouldn’t it be so much easier if all their basic details had already been filled in automatically? To make it even better, add a nice photo and an interesting piece of text about yourself!

Colleague directory

Find all your colleagues in one clear overview. In addition, all this information is accessible everywhere in the social intranet: you can always find the right information, such as department, expertise or telephone number.

Completed profiles

Your personal details can be retrieved automatically from all kinds of systems, such as Active Directory or HR systems. For example, your birth date, name, position, and email are directly copied to your profile page.

Knowledge & competences

Let your colleagues know about your hobbies, your previous jobs, and the courses you have followed. This way, the right person can be found by anyone without wasting time. For example, entering the search term ‘communication’ will give a list of all colleagues who have followed a communications course, studied communications, or worked in a position involving communications.

Chat

Imagine you want to buy a gift for a colleague; create your own chat group, and send the rest of your department a private message. You can also start chatting with each other instantly with the chat feature. You will be notified automatically when you receive new messages.

Embrace chat

You can open the chat feature via the sidebar in Embrace, and send messages to your colleagues. These can be either one-on-one chats, or group chats.

Skype for Business

If your organisation uses Skype for Business, you can integrate this with Embrace. It means you can use Embrace to chat or make direct calls via Skype for Business. Your availability (busy, absent or available) will also be shown.

Teams

Your social intranet is a digital workplace that connects everyone and everything, so it’s the perfect place for people to work together and share knowledge. Create open or closed teams (groups) based on your department, project or interest, and get the right people in touch with each other. Collaborate easily with your internal and external networks.

Planning and meetings

Smart planning and meetings. Use the planner to easily schedule appointments within a team, create tasks, or establish milestones for all team members.

The meeting module helps you organise meetings, write minutes, and keep track of action points and decisions.

External users

Work together on projects with external contacts. It’s simple to invite people from outside the organisation to join your team. External users are given limited access to Embrace. This means they can only see the conversations, documents and people in the groups they are members of.

Documents, files and version management

Bundle all important documents, reports, images or videos together in one place in your group. Work together on MS Office documents; edit and save them directly online. If you aren’t sure which document you need, you can quickly browse them before downloading. The version control feature also lets you view older versions, so everyone in the team knows who changed what, and when.

Office 365

You can connect the social intranet to various Microsoft Office 365 applications. For example, you can save and access documents and groups in SharePoint via the social intranet, or go directly to Skype to chat via Embrace. Alternatively, MS Exchange can be linked to the current attendance list, and you can schedule appointments directly. Finally, you can see all your appointments via the outlook widget on Embrace’s homepage.

Office Online

With Embrace,  you can open, edit and write over Microsoft Office files instantly. For example, you and your colleagues can edit and save online documents without having to download PowerPoint or Excel to your own computers.

Exchange

You can add profile information from the Exchange agenda to your profile on Embrace, allowing your colleagues to see your availability during the working week. If you have an appointment, it will show blue/red (busy).

If you create an appointment, task or milestone in the planner via a group, this will be automatically incorporated in the Outlook agendas of all the members of the group.

SharePoint

We exploit the potential of SharePoint through a link we developed ourselves. SharePoint is an application platform from the Microsoft Office server suite that is used as a document management platform.

When you create a group in Embrace, a team site is immediately created in SharePoint. At the same time, data, such as team name, team description and access rights, is transferred. Documents uploaded in Embrace via document management or similar undergo the same process.

Skype for Business

If your organisation uses Skype for Business, it can be integrated with Embrace. For example, you can call or chat with all intranet users via Skype directly, and your availability at the office will be shown.

Knowledge Connector

Don’t keep your knowledge all to yourself! The Knowledge Connector gives you an overview of the exact knowledge and skills present in your organisation. Create fields of knowledge, let us know what your level is, and endorse your colleagues’ skills. As a result, you will not only get to know your colleagues better, but your organisation will become smarter.

Identifying knowledge

Are you brilliant at making PowerPoints or writing in English, or are you a strong community manager? Now you can check if there is a field of knowledge within your organisation that matches your knowledge or skills. If you can’t find one, no problem; simply create a new field of knowledge, and directly add colleagues who know about it.

Endorsements

If, for example, you think your colleague has extensive ICT knowledge, you can make the entire organisation aware by anonymously endorsing his or her knowledge in this area, confirming this expertise. It gives everyone insight into who can do what in your organisation.

Find and contact experts

In each field of knowledge, you can see the level of expertise of your colleagues and the number of endorsements they have. Your profile automatically shows every field you have indicated or for which someone has endorsed you. You can immediately reach knowledge holders by tagging areas of expertise in a message. Sharing knowledge has never been so simple.

Integration

Embrace uses open architecture, so it can be integrated in a variety of ways; through links we have already used, or via custom links with applications made specifically for your organisation. These could be links with Office 365, for example, or systems only used by your organisation.

Technical specifications

Embrace was designed on the basis of the Microsoft asp.net application framework. Some of the open standards for content and data exchange used by the intranet are: web services, residual api, soap, wcf, json, xml, csv, and xlsx.

Microsoft solutions

We can link to various Microsoft solutions:

  • Exchange – See your colleagues’ agendas on Embrace;
  • Skype for Business – Start calling or chatting using Embrace;
  • Sharepoint – Save documents with SharePoint;
  • Office365 – Edit documents with colleagues online.

Content Management Systems (CMS)

To post news about the organisation, process information, or facility information on the intranet, use a CMS. Embrace can be linked to any CMS, although we recommend Umbraco, an open source version because of its great user-friendliness and flexibility. It’s simple and intuitive to use, so no intensive training or manual are required. Your colleagues can react to content, but not post, change or delete anything.

Authentication/login

To safeguard your and the organisation’s privacy, you must log in to access Embrace.

Active Directory (AD)

Since we link with AD, you only have to log in once with your credentials (single sign-on) to access all the following applications. This means that if you log on to a PC with your credentials, you have direct access to all applications, including Embrace social intranet.

Active Directory Federation Services (ADFS)

ADFS, which is similar to Active Directory, is another Microsoft product. It also allows you to log in to all the following applications in a single operation (single sign-on).

Forms

If your organisation does not use digital work environments, you will need your own separate login credentials for each individual application. In this case, we use the system forms, which allows you to securely log in to Embrace with a separate account.

Links created specifically for your sector

If you want to connect your system to the intranet, we can set up tailor-made links with you. For example, we could create a widget that shows information from another system.

R/personnel systems

Our open architecture allows us to connect with any HR-system and synchronise your profile with that system.

Social analytics

If you want to find out how your social intranet is being used, use social analytics to measure usage. This can give you information about various aspects, including:

  • How many teams have been created?
  • How many messages have been posted recently?
  • How many responses are there to a message on average?
  • Which users post the most messages?
  • What kind of messages are the most popular?
  • And much more!

Widgets

A widget is a mini-application with limited functionality that gives quick access to important information. Some examples are:

  • Favourites

Tasks

Use social task management to delegate tasks in your organisation, instead of the traditional methods. It allows colleagues to assign tasks to one another, making them responsible for accepting, monitoring and solving these tasks. Within a task, you can react to one another and solve it together. You can monitor which tasks are open, completed, or accepted by others.

Notifications

A counter shows any new notifications. There is also an overview of all the notifications you have received. You can also choose to receive notifications by mail. The different notifications are:

  • Invitations for teams

Microblogs

Share a message with your organisation, department, and/or team. Tag colleagues, teams and pages. Ask your colleagues a question, and start a poll. Add attachments, images, or emojis, and use hash tags to make information easier to understand. Your colleagues can easily respond by posting a comment or liking the message.

Collaborating is even easier with the use of pages. For example, prepare a presentation by adding information, images, attachments and videos to the page. Your colleagues can easily add and provide feedback. In messages, refer to the relevant page so nobody misses any information.

Single-sign-on (SSO)

SSO allows you to log in to all programs with your credentials in one go. That means you get immediate access to all applications, such as Embrace social intranet, if you log on with a PC.

Mobile

Take your workplace with you. Embrace frees you from your PC. You can quickly send messages, find colleagues, or share documents using your smartphone, whether on the move, at home, or with a client.

Search

All kinds of information are easy to find in Embrace, such as documents, messages, colleagues, information pages, responses and photos. In addition, you can quickly filter the results according to type of content, author, or date, so you will waste no time finding the most relevant information.

How do I find what I’m looking for?

“Where can I find the new sick leave regulations again?’ Simply type the search term ‘sick leave’ in the search bar, and you will get lots of results. There are filters for type, author and date.

You’ll find what you want in no time, which is perfect.

Using this feature, you can search through all types of content; pages, posts, profiles, and responses. You can refine search results with the filter feature, or perform an advanced search if you want to be more specific. In this case, you can enter words you want to exclude, or limit results to titles, a certain sentence, or one of the words you are interested in. It’s all very simple.

The underlying technology

The search engine is based on Apache Lucene.NET the open source search engine. HIt allows texts, documents (including PDF and Word docs) and full-text metadata to be searched, meaning word documents themselves are searched for results.

We can extend the search engine with external sources from other search engines, such as Enterprise SharePoint Search (Microsoft) and Google Search Appliance (Google). This means that both internal and external information from sites such as Google will be shown in your search results.
